Before You Renew HubSpot Marketing Hub: Seven Questions to Answer First
Most HubSpot renewals happen by default. The term ends, the card is charged, and a marketing leader finds out in the finance channel that the company just committed to another year of Marketing Hub Professional at a slightly higher price than last year. Nobody decided. The contract did.
This post is the decision, laid out as seven questions. Each one names the setting or the page where the answer lives and the date by which it has to be answered. It works whether you end up renewing, downgrading, or leaving, and it does not contain a pitch until the last paragraph.
1. When exactly does it renew, and is auto-renewal on?
Per HubSpot’s Customer Terms of Service, a subscription “will automatically renew for the shorter of the same duration as your prior term or one year” unless your order says otherwise. To stop that, “you must turn off the auto-renewal setting in the Account & Billing section of your HubSpot account prior to the end of your Current Term.”
Find the renewal date in Account & Billing today and put it in the team calendar with a reminder 60 days before. Every other question on this list has a deadline that hangs off that date.
2. What will the renewal price actually be?
The same terms let HubSpot “increase your Subscription Fees up to our then-current list price” at renewal, with at least 30 days’ notice and no stated cap. Three things push the number up: expiring first-year discounts, usage above the included contact or seat limits, and, for accounts that moved from legacy to seat-based pricing, a migration-related increase that HubSpot’s seats migration FAQ puts at “approximately 5% or less at the time of subscription renewal.”
HubSpot shows the renewal price in Account & Billing before the term ends. Read it there, not on the public pricing page, because the public page shows list price for a new account and yours will differ in both directions.
3. Which contact tier are you on, and which are you paying for?
Marketing Hub bills by marketing contacts, the ones you send marketing email to. Non-marketing contacts are stored free. Per HubSpot’s marketing contacts page, switching a contact from marketing to non-marketing “will take effect in the following month.”
So the clean-up has to happen at least one billing cycle before renewal. Bounces, unsubscribes, partners, closed-lost from two years ago: flip them now and the renewal quote is calculated on the list you actually market to. 4. How many seats are assigned, and how many are used?
Professional includes three core seats and charges from $45 a month for each extra one on annual terms, per HubSpot’s pricing page. The seats migration FAQ recommends a Super Admin review seat types in Users & Teams after migration and reassign as needed, because “a misplaced seat means someone either can’t do their job or you’re paying for access someone doesn’t need.”
Two checks. First, are there paid seats assigned to people who left, changed roles, or only ever needed view access? Second, if you are a team of one on a three-seat plan, that is not a seat problem, it is a tier problem, and the cliff post is the one to read.
5. Which Professional features ran in the last 90 days?
Professional is priced for workflows, A/B testing, custom reporting and the SMS add-on. Pull the last 90 days: how many workflows are active and enrolling contacts, how many A/B tests ran, how many custom reports were opened by someone other than the person who built them. HubSpot’s own migration guidance suggests auditing hub usage over 90 days before renewal, and it is the fastest way to see whether you are paying for a department’s tool with a team of one’s usage.
If the answer is two workflows and a dashboard nobody opens, you have the data for a downgrade conversation. If the answer is twelve workflows that route half the sales process, you have the data to renew with confidence, and you should.
6. What is your credit cap set to?
Breeze agents run on HubSpot Credits, and the default behaviour after you buy a pack is auto-upgrade: exceed your limit and HubSpot adds another 1,000-credit pack “for the remainder of your contract,” per HubSpot’s credits and billing guide. Unused credits expire monthly.
Check Usage & Limits for two numbers: the packs you are currently subscribed to, and the month that put you there. A launch in March can still be on the invoice in September. Set a limit or move to pay-as-you-go before renewal so the new term starts on the allowance you actually need. We priced one agent for a small team, month by month, if you want the mechanics.
7. If you downgrade or leave, what stops and when?
Two rules from the terms. “You are not permitted to downgrade your Subscription Service during your Current Term. You may downgrade your Subscription Services at your next renewal date.” And “all payment obligations are non-cancelable and all amounts paid are non-refundable.” Cancelling mid-term does not end the term; it stops the renewal.
For Professional and Enterprise, HubSpot’s cancellation and downgrade documentation says to contact your contract manager at least five business days before the renewal date. Treat that as the last possible day, not the plan.
What stops: workflows, marketing email at volume, A/B testing, custom reports, the SMS add-on. What stays: after termination HubSpot “will continue to make available to you our Free Services,” so contacts, companies, deals and lifecycle stages remain in the free CRM. Export the reports and document the workflow logic before the date, because those do not come back.

Renewal day: whatever you decided happens now, not before.
The question that is not on the list
The $3,000 Professional onboarding fee was paid in year one and does not recur. It is also the reason a lot of teams renew: it feels like leaving wastes it. It does not. It was spent the day it was invoiced, whether you renew or not, and the only cost that changes with this decision is next year’s subscription. Decide on the seven questions above, not on the fee.
When renewing is the right answer
If the 90-day audit shows active workflows carrying real sequences, seats that are all in use, a contact list that fits the tier, and reports someone reads, renew. The bottom line
A HubSpot renewal is a decision only if someone makes it before the date. Find the date, pull the usage, clean the contacts a month early, cap the credits, read the real renewal price, and put the decision in writing with time to spare. Do that and renewing is a choice you can defend, and so is not renewing.
